Cost Per KM

(Total Monthly Costs ÷ Total KM Driven)
Example: R18 500 ÷ 4 200 km = R4.40/km

Your single most important number — every delivery must charge more than this.

Fuel Consumption Rate

(Litres Used ÷ KM Driven) × 100
Example: 180L ÷ 1 800 km × 100 = 10L/100km

Know your vehicle's actual consumption — budget fuel spend from this number.

Profit Per Delivery

Delivery Income − (Cost Per KM × Route KM)
Example: R850 − (R4.40 × 160 km) = R146 profit

Know instantly whether a job is worth taking — before you commit.

Gross Margin %

((Revenue − Direct Costs) ÷ Revenue) × 100
Example: ((R42 000 − R28 000) ÷ R42 000) × 100 = 33%

Healthy SA transport gross margin: 25–40%. Below 20% = urgent attention needed.

VAT Input/Output

Output VAT (charged) − Input VAT (paid) = VAT Due
Example: R6 300 − R4 100 = R2 200 due to SARS

When input exceeds output, SARS owes you a refund — claim it every period.

Break-Even Pricing

Fixed Costs ÷ (1 − Variable Cost %)
Example: R12 000 ÷ (1 − 0.62) = R31 578 minimum revenue
